Vacancy: Senior Company Administrator

We are currently looking to expand our Corporate Services team and are looking for an organised, experienced Senior Company Administrator.  You will be accountable to the Corporate Department’s Line Manager and ultimately to the Head of Fiduciary and the Directors of the firm.

Salary is competitive. The responsibilities of this position include:

  • Administration of a portfolio of companies from various jurisdictions and providing support to the Directors in the day to day running of entities under management;
  • Responsibility, in liaison with Management, for building and maintaining successful relationships with clients within the portfolio. Regular contact with clients, principally by letter, e-mail and telephone and providing a quality and professional service;
  • Liaising with external advisors including investment advisers, asset managers, lawyers, accountants, brokers, tax advisers, auditors and other third parties, as necessary regarding client affairs;
  • Manage, supervise, train and develop as necessary junior members of staff and oversee their work;
  • Complying with all regulatory and legislative requirements in accordance with the regulatory licenses held by the business, including any codes of practice and regulatory guidance;
  • Undertaking comprehensive company file reviews and periodic AML/Compliance risk assessments;
  • Drafting board resolutions/minutes and bank letters;
  • Company billing;
  • Attending to statutory filing of documents;
  • Updating information related to Companies in Viewpoint;
  • Maintaining records of daily time spent on time billing modules;
  • Liaising with Banks and other financial institutions on day to day administration of Company portfolios and cash deposits held;
  • Any ad-hoc tasks and duties as instructed by the directors of the firm’s licensed companies;
  • General upkeep of files, both paper and electronic versions, Document Manager;
  • General office administration.

Junior Company Administrator

We are currently looking to expand our Corporate Services team and are looking for an organised, experienced Junior Company Administrator.  You will be accountable to the Corporate Department’s Line Manager and ultimately to the Head of Fiduciary and the Directors of the firm.

Salary is competitive. The responsibilities of this position include:

  • Assisting Senior Administrators in the administration of client portfolios;
  • Attending to basic client queries and to requests from Senior Administrators;
  • Undertaking company file reviews and assisting with AML/Compliance risk assessments;
  • Attending to statutory filing of documents;

We are currently looking to expand our team and are looking for an organised, experienced Legal Assistant/Secretary. Salary is competitive. 

Position Profile summary

Administrative support to PRT lawyers as required and including;

On-boarding clients to include:

  • KYC, AML & CTF Risk Assessment; setting-up Master file digitally on viewpoint and paper file;

Management of client Master files (digital and paper) to include:

  • Recording correspondence and relevant documentation;
  • Tracking of client matters;
  • Raising invoices and closing client master files;

Administrative support of all aspects of conveyancing to include:

  • Pre and post completion administration and registration of Deeds.

General:

  • Review of department weekly schedule of work;
  • Administrative support as required in respect of Wills, Probate, Court bundles etc.;
  • General - screening telephone calls; client appointments; preparing couriers/hand delivery documents; meeting clients for the signing of documents; ad-hoc tasks.

We are currently looking to expand our team and are looking for an organised, experienced Senior Compliance Officer. You will be familiar with Gibraltar’s requirements and KYC/AML compliance issues. Salary is competitive.

The responsibilities of this position include:

  • Provide multi-jurisdictional regulatory advisory services to stakeholders across the Gibro Group member companies;
  • Ensure compliance with all regulatory and legislative requirements in accordance with the regulatory licenses held by the business, including any codes of practice and regulatory guidance and AML manual;
  • Undertaking comprehensive company file reviews and periodic AML/Compliance risk assessments;
  • Produce regular reports for the Group’s Directors and Senior Managers;
  • Periodic testing of the Group’s compliance procedures ensuring they are robust and efficient;
  • Assist, attend and participate in relevant meetings as needs arise or requested by Directors of the Group’s licenced companies;
  • Regulatory reporting requirements with the GFSC, MFSA, FIAU and data collection, filings of all licensed companies;
  • Maintenance of the Compliance Calendar and ensuring compliance of the same.
